Mention Reminder
Now on Microsoft Teams

A lightweight mention reminder for Microsoft Teams

Somebody @mentions you in a Teams channel while you are on a call. You read it, you mean to come back to it, and by the afternoon it is buried under the next twenty posts. Mention Reminder watches the mentions nobody answered and reminds you about them in a private 1:1 chat - at the hours you choose, in your own timezone. Reply in the thread or react to the message, and the reminder clears.

  • A team owner adds it in about two minutes, no commands
  • Reminders arrive in your own 1:1 chat - nobody else sees them
  • Free for up to 5 people

See it in action

Read it, meant to reply. Then forgot.

That is how a lot of mentions end. See what happens to the same message when your team has Mention Reminder.

Thursday, 12:32 PM. Alex mentions John. He reads it on the go.

How it works

How the Microsoft Teams mention reminder works

One team owner adds the app. Everybody else keeps writing exactly as they did before.

  1. Step 1

Add the app to a team

In Teams, open Apps, find Mention Reminder and choose "Add to a team" - not just for yourself. The bot then sends you a one-click link to the web panel to finish setup.

  2. Step 2

    Every standard channel is covered

Once the app is in a team, it sees that team's standard channels - there is no inviting it channel by channel. Add it to a group chat too and that chat is watched the same way.

  3. Step 3

Someone @mentions you and moves on

Mention Reminder adds a discreet ๐Ÿ”” to the message so the channel can see it is being tracked - and nothing more. No public nagging, no "any update?" from a bot.

  4. Step 4

You get a private reminder until you answer

At the hours you picked - 09:00 and 17:00, say - the app reminds you in your 1:1 chat with it about the mentions still waiting. A card in that chat always holds the current list.

The details

What it looks like inside Microsoft Teams

The parts that are specific to Teams, rather than to the product in general.

Where reminders arrive
In your own 1:1 chat with Mention Reminder, as a card listing what still waits for your reply, with Open and Done next to each item. The chat opens by itself the first time you are mentioned. Nothing is posted into a channel.
Which channels are watched
The standard channels of every team the app was added to, and group chats it was added to. Private and shared channels are not covered: Teams does not let apps read them.
Your timezone
Reported by your Teams client, so 09:00 means 09:00 where you are without anybody filling in a form. Someone in another country gets their own morning, not yours.
Several teams at once
Link them on the Team plan and every unanswered mention lands in one list, tagged with the team it came from. A person has one identity across all the teams of your organisation, so they are one seat, not one per team.
@channel, @team and tags
Off by default, on any plan - one announcement should not become a reminder for the whole company. Switch them on with Team and an AI classifier decides which ones actually needed a personal answer.
Admin lives in the web panel
There are no commands to learn. You sign in with your Microsoft account; reminder defaults, who the bot watches and billing are all in the panel, and your own reminder hours are set from the card in your chat.
Self-clearing

It clears itself - you never tidy a list

A reminder that has to be dismissed by hand becomes another inbox. This one closes on the thing you were going to do anyway.

๐Ÿšซ It is not a task manager for Teams

Tools that turn messages into tasks only work while everybody keeps turning messages into tasks. This one asks for nothing, because it reads what your team was writing anyway.

  • No tasks, no assignees, no due dates, no board
  • Nobody but the admin signs up or logs in
  • No second app, no extra tab, no notifications from elsewhere
  • You reply to the message containing the mention

In a channel, a reply in that post's thread clears your reminder; in a group chat, a quoted reply does the same - even if it just says "ok".

  • You react to that message

A ๐Ÿ‘ or a โœ… on the message containing the mention clears your reminder.

  • You answer in the channel

On Team, AI may recognize a separate answer in the channel. On Starter, reply in the thread, react to the message, or press Done on the card.

  • The message is deleted

A mention whose message is gone cannot be answered, so its reminders close for everyone who got one. Restore the message in Teams and they come back.

Before / after

The same Teams post, twice

Nothing about how your team writes changes. The only difference is whether anyone still remembers the post on Friday.

Teams without Mention Reminder
  1. Thursday, 12:32

Alex: "@John can you handle the graphics for Friday?"

  2. Thursday, 12:33

John reads it in the middle of a call

  3. Thursday, 15:00

Twenty new posts later, the channel has moved on

  4. Monday

"Sorry, it slipped past me" - and the week is gone

โœ— 2-3 days of slippage on the project

Teams with Mention Reminder
  1. Thursday, 12:32

Alex: "@John can you handle the graphics for Friday?"

  2. Thursday, 12:33

John reads it mid-call - the app adds a ๐Ÿ””

  3. Thursday, 17:00

One reminder in John's 1:1 chat, listing what is still unanswered

  4. Thursday, 17:04

John replies in the thread - the reminder clears itself

โœ“ Closed the same day

On the team's side the difference is zero: nobody installs anything, signs up, or clicks a button they did not already click.

Who it is for

Microsoft Teams setups this was built for

Not "better communication" in the abstract - the specific places a mention goes quiet.

Companies that live in Microsoft 365

When every project has its own team and its own channels, mentions are spread across a dozen places. Every unanswered one ends up in a single list in your chat.

Departments with a team each

Sales, delivery and support in separate teams, linked into one account. Each person gets one list and is one seat, however many of those teams they sit in.

Busy channels where posts scroll away

In a channel doing hundreds of posts a week, being mentioned and being noticed are different things. The ๐Ÿ”” is what survives the scroll.

Teams spread across timezones

Reminders are sent on each person's own clock, taken from their Teams client - so nobody has to negotiate when it is acceptable to ping whom.

Testimonials

Teams that stopped losing threads

Odd that Slack does not have this built in. With all the noise, and dozens of people wanting something from you, it helps to have a watcher for whether you forgot to answer someone.
Marketing agency
We keep separate servers for talking to different clients. It is good to have one place that gathers the unanswered mentions from all of them at once.
Software house
Finally a tool that does not need its own panel and manual upkeep to work. Teaching people to use yet another external app is a nightmare.
SEO agency
I like how little work it took to start watching messages - and that the bell emoji shows at a glance which message is being watched, so you see right away that something needs a reply.

Permissions

The permissions it asks for, in full

Teams shows you this list when you add the app. They apply only to the team or chat it was added to, and this is all of it.

Minimal permissions
The bot doesn't need admin. It reads the channels you point it at, manages the thread that holds your reminders, and adds reactions - that's it. Your workspace and server stay under your control.
Reminders only you see
Your reminders live in a DM from the bot (Slack) or a private thread (Discord) - nobody on the team sees them. The only public trace is a discreet ๐Ÿ”” on the message.
Credentials never make it out
Before an excerpt is stored or a message reaches the AI, anything shaped like an API key, token, or password is replaced with a placeholder. Detection is heuristic - a safety net, not a licence to paste secrets into chat.
Self-host on Enterprise
Enterprise runs on your own infrastructure with local LLMs - message content never leaves your company.
๐Ÿ”‘ What it asks for
  • Read messages in the team's standard channels
  • Read the team's member list
  • Read messages and members of group chats it is added to
  • Send you messages in your 1:1 chat
  • Add the ๐Ÿ”” reaction
What it never asks for
  • Microsoft 365 admin rights
  • Your 1:1 chats with other people
  • Private and shared channels
  • Teams it was not added to

Remove the app from the team in Teams and it stops immediately - no ticket, no email to us.

Microsoft Teams FAQ

No - an owner of the team adds the app, and that same owner signs in to the web panel with their Microsoft account. Your organisation only has to allow the app in Teams, which is the admin's call and a one-time setting. Everyone else needs nothing at all: no signup, no login, no permission of their own.

No. Teams does not let apps read private or shared channels, so the bot cannot see them at all. It works in every standard channel of the teams it was added to, and in group chats it was added to.

None. Everything an admin configures lives in the web panel, and your own reminder hours are set from the card in your chat with the app. Nobody has to memorise a command or read documentation to be reminded.

Also available

On Slack or Discord as well?

The same product runs on Slack and Discord, and one account covers all of them. Link them on the Team plan and a person who uses more than one gets one set of reminders instead of several.

Stop letting things vanish in the scroll

Add Mention Reminder to Slack, Teams or Discord - two minutes, once. After that it runs in the background and nobody on the team has to do anything else. Starter is free, no card.
